The Tournament Committee plays a vital role in planning, organizing, and supporting our home tournaments. Committee members work together to ensure a positive experience for players, coaches, families, officials, and visiting teams.
Whether you enjoy organizing logistics, coordinating volunteers, or helping game days run smoothly, there is an opportunity for everyone to contribute.
Committee Responsibilities
Raffle Basket Coordination
- Organizing raffle basket donations
- Coordinating basket themes and assembly
- Managing basket displays during the tournament
- Assisting with raffle ticket sales and drawings
- Tracking and distributing winning baskets
Merch Coordination
- Coordinating tournament apparel offerings
- Working with vendors and suppliers
- Managing merchandise inventory
- Organizing sales locations and staffing
- Assisting with order fulfillment and tournament merchandise promotions
Rostering
- Collecting registrations and required paperwork
- Verifying player information and player eligibility
- Setting Teams by Age and Competitive experience
- Serving as a point of contact for roster-related questions
Game Scheduling
- Setting game schedule
- Coordinating game schedules with tournament leadership and rink
- Communicating schedules to participating players
- Coordinating schedule updates when necessary
- Supporting tournament operations throughout the event
Games
How many games will they play? What days of the week?
Example: Teams will play 20-30 games over the course of the season and will usually fall on the weekends.
Jerseys
Are jerseys provided or are they purchased separately?
Example: Club jerseys are required and may be purchased at TJ Sporting Goods.
Game Day Volunteer Coordination
- Creating volunteer sign-up schedules
- Coordinating tournament volunteer assignments
- Communicating expectations and responsibilities to volunteers
- Monitoring volunteer coverage during the tournament
- Assisting with last-minute scheduling adjustments as needed
